Who we are

Neldi One is a product of NELDI Holdings("we", "us"). This policy covers neldione.com, app.neldione.com and any white-label deployment we operate for a client. For a white-label deployment, the client organisation decides how its workspace is used, and we process its data on its behalf.

What we collect

Information you give us

• Account details: name, email, role, organisation and the companies you attach.
• Content you create: notes, decisions, action items, documents and messages.
• Access requests: name, email, role and the details you submit on our website.

Information from accounts you connect

• Email, calendar and meeting data from services you choose to connect, such as Google, Microsoft or Fathom, only after you approve access.

Information collected automatically

• Technical data needed to run the service: device and browser type, IP address and error reports.
• Masked usage analytics: which screens and features are used. Never the content shown on them.

How we use it

• To provide Neldi One: build your briefings, surface decisions, draft messages you ask for, and keep your records.
• To keep the service secure, reliable and supported.
• To bill for the service and to contact you about your account.
• To improve the product, using masked usage analytics, never your content.

Google user data

When you connect a Google account, Neldi One uses only the access you approve, and only to deliver the features you use:

• Gmail: reads your messages to build your briefing, summaries and search; sends, replies and saves drafts only when you confirm; and applies labels or archives mail when you ask it to tidy your inbox. It never permanently deletes mail.
• Google Calendar: reads your events to map your day and prepare meetings, and adds or updates an event only when you ask (for example, a focus block or a shared agenda).
• Google Drive: lists your documents so you can pick one, and reads only the ones you choose to import as meeting notes.

Neldi One's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. People don't read this data unless you ask for help, it's needed for security, or the law requires it.

Sharing

We share information only with the subprocessors that run the service (listed on our Security page), when you tell us to (for example, by sending a message or sharing an item), or when the law requires it. If our business is ever transferred, this policy will continue to protect your information.

Retention

We keep your information for as long as your workspace is active. Deleted items are purged after 30 days. When a workspace is closed, its dedicated database is deleted within 30 days. Backups age out on our providers' standard cycles. Billing records are kept as long as the law requires.

Your rights

Wherever you live, you can ask us to access, correct, export or delete your information, or object to how we process it. If you're in the EU, UK or California, the GDPR, UK GDPR or CCPA/CPRA gives you these rights in law, along with the right to complain to your data-protection authority. Email privacy@neldione.com and we'll respond within 30 days.

International transfers

Neldi One is hosted in the United States. Where information moves across borders, we rely on appropriate safeguards such as the Standard Contractual Clauses.

Security

Every workspace has its own database, all data is encrypted in transit and at rest, and access is tightly limited. Full details are on our Security page.

Children

Neldi One is a professional service and is not meant for anyone under 18.

Changes

If we make a material change to this policy, we'll tell you by email or in the product before it takes effect.
